Changing account information

You can change account information such as your login information, the way you get authentication codes, your physical address, and more.

Changing your username

You can’t change your username after you’re registered. If necessary, you can register for a new TAP account with a new username. After you create the new account, log into your old account. Go to Manage My Profile and click Cancel Access to delete the old username. Please contact us with questions.

Changing your password

You can change the password for your TAP account anytime. For security reasons, you must change your password at least every 90 days.

Passwords are case sensitive and can’t be the same as your username. Your password must be 10-15 characters long and include at least one of each of these:

  • Upper case letter (A-Z)
  • Lower case letter (a-z)
  • Number (0-9)
  • Special characters (~ ! @ # $ % ^ & * _ – + = ? / | \ ; : [ ] { } ( ) < > . ,)

To change your password

  1. On the TAP home page, click Manage My Profile.
  2. In the Security panel, click Change Password.
  3. Enter your current password.
  4. Enter your new password and then enter it again to confirm.
  5. Click Save and then click OK.
  6. Click Confirm.
  7. Log out and log in again using your new password.

Changing the email address

You can change the email address for your TAP account. To see the current email address, click Manage My Profile on the TAP home page.

To change the email address

  1. On the TAP home page, click Manage My Profile.
  2. In the Profile panel, click Change email.
  3. Type the new email address.
  4. Click OK.

Changing the authentication method

The Tax Commission requires using two-factor authentication (2FA) as added security for your TAP account. If you’ve chosen to “Trust this browser,” you might not be prompted for an authentication code. Otherwise, you’ll be prompted when you log in to request an authentication code (security code) be sent to you in the method you chose. You should receive the code within 1-5 minutes.

You can choose an authentication app, email, or text message to get your authentication code. Note that some cell phone service providers use security measures that slow text message delivery.

To change the authentication method

  1. On the TAP home page, click Manage My Profile.
  2. In the Security panel, click Change Two-Step Settings.
  3. Choose Authentication AppText Message, or Email.
  4. Update the information and click OK.

Changing a physical address

You can update a mailing address or opt to receive mail at an address that’s different than the one listed as your location address. For security reasons, it can take a few weeks before we confirm a new address.

This process requires that you have additional features unlocked. See instructions in the Advanced Use of TAP guide if you opened your TAP account before December 2018 and haven’t unlocked them yet.

To change a physical address

  1. On the TAP home page, click the More tab.
  2. In the Names & Addresses panel, click Manage Names & Addresses.
  3. On the Addresses tab, find the tax account you want and click its address.
  4. Click Change this address and compete all required fields.
  5. Click Verify Address and choose the verified address.
  6. You might see a window suggesting an address that matches the U.S. Postal Service records. Click Select to choose that address or Yes to use your original.
  7. Click Save.

You’ll see an “Address change submitted” note on the Names and Addresses tab for this item while we’re reviewing it. You’ll see the updated information in your TAP account when we’ve changed it.

Changing your legal name

This process requires that you have additional features unlocked. See instructions in the Advanced Use of TAP guide if you opened your TAP account before December 2018 and haven’t unlocked them yet.

To change your legal name

  1. On the TAP home page, click the More tab.
  2. On the Names & Addresses panel, click Manage Names & Addresses.
  3. Click your legal name.
  4. Click Change this name.
  5. Enter the new name and click Next.
  6. Click Submit. You’ll receive a confirmation screen. Click OK to leave or Printable View to print it.

You’ll see a “Name change submitted” note on the Names and Addresses tab for this item while we’re reviewing it. You’ll see the updated information in your TAP account when we’ve changed it.

Changing your Doing Business As (DBA) name

You can’t change your DBA through TAP. You’ll need to complete an Idaho Business Registration (IBR) application. See more information in the Idaho Business Registration (IBR) guide.

Canceling a permit

Through TAP, you can cancel a permit that you have with the Idaho State Tax Commission. Generally, people cancel permits when they’re no longer in business.

You have three options for canceling a permit.

To cancel a permit when you file your final return in TAP

Select the Cancel Permit box when you file your final return for that tax type in TAP. Please allow 7-14 days for your request to take effect.

To cancel a permit in the TAP software

  1. On the TAP home page, click the Summary tab.
  2. Find the account you want and click Cancel Permit.
  3. Enter the effective date and any comments.
  4. Click Submit.
  5. Make sure to file your final return for this tax type.

To cancel a permit from the Tax Commission website

  1. Go to tax.idaho.gov/ss.
  2. Complete a brief online form.
  3. Make sure to file your final return for this tax type.

Please allow up to 30 days for your request to take effect.

Canceling or changing a return

You can change returns with a Pending status. To change a pending return, either delete it and create a new one, or change it using the steps below.

You can’t change a return with a Processing status.

To cancel or change a return

  1. On the TAP home page, click the More tab.
  2. In the Submissions panel, click Search Submissions.
  3. On the Pending tab, locate and click the return you want to change or cancel.
  4. In the upper-right side, click Continue Editing or Delete.
  5. Create a new return, if needed.

Canceling or changing a payment

You can cancel or change a payment you made by ACH debit if it has a Pending status. You can’t cancel or change this type of payment if it has a Processing status.

You can’t cancel or change any payments you made by credit card.

To cancel or change an ACH debit payment

  1. On the TAP home page, click the More tab.
  2. In the Submissions panel, click Search Submissions.
  3. On the Pending tab, locate and click the payment you want to change or cancel.
  4. In the upper-right side, click Continue Editing or Delete.
  5. Create a new payment, if needed.

Payment plans

After the Tax Commission approves a payment plan, payments are withdrawn from your bank account automatically every month. You can’t track payments in TAP, but you’ll see the “balance due” in your TAP account change to reflect these credits. Read our TAP Payment Plan Requests guide for more information.

Checking your submissions

You can see the payments, returns, and other changes that you’ve submitted.

To check your submissions

  1. On the TAP home page, click the More tab.
  2. In the Submissions panel, click Search Submissions. By default, you see pending submissions, with the most recent listed first.

TAP Payment Plan

You can request a payment plan. You also can change a request you’ve already submitted.

Requesting a payment plan

You can request a payment plan through TAP when we’ve processed your return and your balance is reflected in TAP.

Tips:

  • Pay as much as you can before the due date.
  • You can make extra payments anytime. This reduces your balance, as well as interest and penalty.
  • You’ll need your bank routing number and account number from the bottom of your checks. The routing number is the first group of numbers, and the account number is the middle group. Don’t include the last group, which is your check number.

To request a payment plan (with a TAP account)

  1. On the TAP home page, click the More tab.
  2. In the Payment Plans panel, click Request a Payment Plan.
    Contact us if you don’t see this link.
  3. Read the agreement and click Next.
  4. Choose an available option for the payment plan and click Next.
  5. Follow the instructions to complete your request. When asked when you want the payment plan to start, you must choose a date that’s between 10 and 40 days from the date you submit this request.
  6. Click Submit, or click Save Draft to save your work and return later to finish.

To finish a draft request

  1. On the TAP home page, click the More tab.
  2. In the Submissions panel, click Search submissions.
  3. Click Payment Plan.
  4. Click Continue Editing in the upper-right corner.
  5. Fill out your payment plan request.
  6. Click Submit.

To request a payment plan (without a TAP account)

  1. On the TAP home page, under the Payments panel, click Request a Payment Plan
  2. Verify your Identity and enter a Letter ID found in the top right corner of any letter from the Idaho State Tax commission delivered within the past two years.
  3. Read the agreement and click Next.
  4. Choose an available option for the payment plan and click Next.
  5. Follow the instructions to complete your request.
  6. Click Submit.

Changing a payment plan request

You can change a payment plan request you’ve submitted if it’s still marked as Pending. To change the length of the plan, you must delete your request and start over.

If your request is already marked as Processing, contact us to make changes.

To change a payment plan request

  1. On the TAP home page, click the More tab.
  2. In the Submissions panel, click Search Submissions.
  3. Click Payment Plan.
  4. Click Continue Editing in the upper-right corner.
  5. Change your payment plan request.
  6. Click Submit.

Changing banking information for a payment plan

You can change from where you want us to withdraw payments, such as changing from one bank account to another.

  • If your next payment is due in 7 days or less, contact us about changing bank information.
  • If your next payment is due in 8 days or more, you can use TAP to change your bank information. See the steps below.

To change bank information for a payment plan

  1. On the TAP home page, click the More tab.
  2. In the Payment Plans panel, click Change Payment Plan Bank Details.
  3. Follow the instructions to change bank accounts.
  4. Click Submit.

Issues with registering

This section describes some common issues you might have while registering with TAP.

Can’t verify EIN

If you’re an out-of-state tax professional, TAP might not be able to verify your federal Employer Identification Number (EIN) when you try to register for your own account.

We might need to make a system adjustment for you. Contact us through the TAP Issues box in our Submit a question section, or call us at(208) 334-7660 in the Boise area or toll free at(800) 972-7660.

You see the message “Please verify that your SSN, name, and ZIP code are correct”

Check:

  1. Do you have an active Idaho tax account? If you’re new to Idaho, you can’t register with TAP until your tax information is in our system.
  2. Is your ZIP code correct? Your registration ZIP code must match what we have on file for your location ZIP code. This might differ from your mailing or PO Box address. Check your records to confirm you’re entering the ZIP code we have on file. You might want to try your last few ZIP codes if you think we could have an old location address for you.
  3. Contact us if you’re unable to proceed.

You see red fields

Fields that turn red when you try to submit changes are required fields that don’t have correct information in them.

  1. Complete all required fields. Required fields left blank have a red asterisk (*) to the right of the field.
  2. Double-check any red fields that have information in them. The system didn’t recognize what you entered. Hover over the field to see the error message.

Registration code didn’t arrive

When you first sign up with TAP, the Tax Commission sends you a physical letter containing a registration code. You need this code to complete your registration and log in. You should receive this letter within 7-10 business days. If you don’t receive the letter within 10 business days, contact our E‑File Help Desk.

Issues with logging in

This section describes issues you might see when you try to log in.

Forgot password

You can reset your password if you forget it.

To reset your password

  1. On the TAP home page, click Forgot username or password? (under the Log In button).
  2. Enter your username and email.
  3. Click Submit.
  4. You’ll receive an email. Click the link in that email and enter the answer to the security question you chose when you originally signed up. The answer is case sensitive.

    Note: Check your Junk and Spam folders if you don’t see the email. The link in the email is only valid for 10 minutes. If the link expires, repeat the steps above.

  5. Create your new password.

You see the message “Password attempts exceeded”

You’ll receive this message if you try to log in too many times with a username and password that don’t match your TAP account. This security measure ensures that you’re the only one accessing your account.

To unlock your TAP account, click Forgot username or password? and follow the instructions. If you can’t unlock your account, contact our E‑File Help Desk.

Registration code issues

When you first register with TAP, the Tax Commission sends you a letter with the registration code, which you need to finish the registration process. You should receive the letter within 7-10 days. Contact us if you don’t.

Authentication code issues

The Tax Commission requires using two‑factor authentication (2FA) as added security for your TAP account. We send authentication codes through an authentication app, email, or text message. You should receive the code within 1-5 minutes.

If you don’t receive the code in email:

  1. Check the login screen to be sure the email address on record is correct.
  2. Check if the email went to your Junk or Spam folder.
  3. If it’s been more than 5 minutes, contact us for help.

If you don’t receive the code as a text message:

  1. Make sure your phone plan allows for SMS (text) messaging.
  2. Note that some cell phone providers use security measures that slow text message delivery. If the wait for an authentication code is too long, consider using the authentication app or email instead.
  3. If you still haven’t received the code within 5 minutes, contact us for help.

Confirming we received your return or payment

You should see a confirmation screen after you successfully submit your tax return or payment. If you didn’t see this screen, we didn’t receive your return or payment.

  • Complete all required fields. Required fields left blank have a red asterisk (*) to the right of them.
  • Look for red fields. Our system didn’t recognize what you entered. Hover over the field to see the error message and correct it.

Setting up your account and client accounts

As a tax professional, you must have your own TAP account (see the Starting with TAP guide). Then, add access to client accounts if you want to file and pay taxes on their behalf.

Requesting access to client TAP accounts

You must add client access for each tax account (tax type) such as sales tax, withholding, or IFTA. The process of accessing a client account is also a two-step process.

Note: The client must have allowed third-party access to its TAP account. Access is allowed by default.

To request access to a client TAP account

  1. Log in to your TAP account.
  2. On the More tab, go to the Access panel and click Add Access to Another Account.
  3. When asked if you have received a registration code, leave No selected and click Next.
  4. Enter the information for a tax account (tax type) you’d like to access and click Submit.
  5. Add any other tax accounts for this client you want to request access for.
  6. Ask your client to look for a letter from us, which will take 7-10 business days. When the letter arrives, have your client give you the registration code and see “To confirm access to a client TAP account” below.

To confirm access to a client TAP account

  1. After you’ve received the registration code from your client, log back into your TAP account.
  2. On the More tab, go to the Access panel and click Add Access to Another Account.
  3. When you’re asked if you received a registration code, click Yes. Enter the code. This is case sensitive.
  4. Click Submit.

You now have access to the client tax accounts you requested access to.

Managing client TAP accounts

You can do many tasks for your client through TAP. Tasks include paying their taxes, reviewing pending payments, and seeing if you can still cancel payments.

To schedule payments

  1. On the TAP home page, select the client you want to make a payment for.
  2. Locate the panel for the tax account you want to make a payment for and click Make a Payment.
  3. Choose the payment channel (bank account) you want to pay from.
    • If there’s a default payment channel, that information appears. Leave it as is to pay from that channel.
    • Select New to add a different bank account. Optionally, you can save the payment channel if you want it to be the default for this tax account.
  4. Enter the Payment TypePayment Date, and Amount.
  5. Click Submit.
  6. Click OK to confirm. You’ll see a confirmation screen and receive an email confirmation after the software starts processing the payment.

To review payments

  1. On the TAP home page, go to the Summary tab and select the client whose payments you want to review.
  2. On the More tab, go to the Payments & Returns panel and select Manage Payments and Returns.
  3. In the Show panel, change Returns to Payments and Not Submitted to Pending.

Tip: In the Status column, click Make Payment to schedule a payment for that account.

To delete payments

See the Changes and History in TAP  guide to cancel payments made by ACH debit that still have a Pending status. You can’t delete these payments if they have a Processing status. You also can’t delete payments made by credit card.

Managing access

You can create secondary logons and security groups for a TAP account.

Adding a secondary logon

You can create secondary logons to allow someone else to manage your TAP account. The person with the secondary logon only sees the accounts and can perform the actions you give them access to. Each user should have a unique logon.

In previous versions of TAP, you could have “Additional” logons. You can still use and manage Additional logons, but you can’t add new ones. Instead, add a secondary logon, if needed.

To add a secondary logon

  1. On the TAP homepage, click Manage My Profile.
  2. On the More tab, go to the My Users panel and click Manage Secondary Logons.
  3. Click Add.
  4. Enter the UsernameNameEmail, and Type of Access.
  5. Click Save.

The person you specified will receive an email to finish setting up the secondary logon.

To change access for a secondary logon

Note: Additional Features must be unlocked (see below).

  1. On the TAP home page, click Manage My Profile.
  2. On the More tab, go to the My Users panel and click Manage Secondary Logons or Manage Additional Logons.
  3. Select the username for the person you want to manage access for.
  4. To change the type of access this person has, click Change Access.
  5. To update the security group this person has access to, go to the Security Groups panel and click Change. Select the checkboxes for the security access you want this person to have.
  6. To change which tax accounts (tax types) this person can access, go to the Account Access panel and click Change. Select the checkboxes for the tax accounts you want.
  7. Click Save.

To delete access for a secondary logon

Note: Additional Features must be unlocked (see below).

  1. On the TAP home page, click Manage My Profile.
  2. On the More tab, go to the My Users panel and select Manage Secondary Logons or Manage Additional Logons.
  3. Select the username for the person you want to manage access for.
  4. Select Deactivate Access and click Yes to confirm.

Managing security groups for secondary logons

A security group sets the accounts that someone with a secondary logon can access. When you add a secondary logon, the secondary logon goes into the Default security group. You can create other security groups if you only want people with secondary logons to be able to access certain client accounts. The client can only be in one security group.

To add a security group for secondary logons

  1. On the TAP home page, click Manage My Profile.
  2. On the More tab, go to the My Users panel, and click Manage Secondary Logons.
  3. On the Security Groups tab, click Add.
  4. Enter the name and description for this security group.
  5. Click Save.

To manage a security group for secondary logons

  1. On the TAP home page, click Manage My Profile.
  2. On the More tab, go to the My Users panel and click Manage Secondary Logons.
  3. On the Security Groups tab, click the name of the security group you want.
  4. Do either of these tasks:
    • Click Rename to update the name, description, or both. Then, click Save.
    • Click Delete to remove the security group. Click Yes to confirm.

To change the clients in a security group for secondary logons

  1. On the TAP home page, click Manage My Profile.
  2. On the More tab, go to the My Users panel and click Manage Secondary Logons.
  3. On the Customer Security tab, you can see the clients you have access to. Click the security group with which the client is currently associated. 
  4. Select the new security group for the client. The client can only be in one security group.
  5. Click Save.

Preventing any access to your TAP account

Use this when you don’t want anyone else to have access to your TAP account.

  • Third-party access. The default is Allow. You must leave this set to Allow to let someone manage your TAP account from their TAP account. This is how most tax professionals manage client accounts.
  • Secondary logon access. The default is Allow. You must leave this set to Allow if you want to set up a secondary logon for someone to get direct access to your TAP account.  

To prevent a third party from accessing your TAP account

Note: Additional Features must be unlocked (see below).

  1. On the TAP home page, click Manage My Profile.
  2. On the More tab, go to the Access panel and select Manage Third Party Access.
  3. Click the Yes across from Allow. The Yes turns to No.
  4. Click Yes to confirm.

To prevent secondary logons to your TAP account

Note: Additional Features must be unlocked (see below).

  1. On the TAP home page, click Manage My Profile.
  2. On the More tab, go to the Manage Additional Logons panel and select Manage Additional Logons.
  3. Click Additional logons.
  4. Click Yes across from Allowed. The Yes turns to No.
  5. Click Yes to confirm.

Unlocking additional features

To unlock additional features

  1. On the TAP Home page, click the More tab.
  2. In the Verify Your Account panel, click Unlock Additional Features.
  3. Click the I haven’t received my additional features code checkbox.
  4. Click Request Additional Features Code at the bottom of the page.
  5. Verify your mailing address and click Submit. We’ll send you a letter with a code to unlock these features within 7-10 business days.
  6. After you receive the letter, go to the Verify Your Account panel and click Unlock Additional Features.
  7. Enter the code exactly as it appears in the letter. This is case sensitive.
  8. Log out and log back in to have full access to the additional features.

TAP: Introduction and Registering

The Taxpayer Access Point (TAP) is an online system for people who regularly file Idaho returns and pay on certain tax types. It’s mostly for businesses, but individuals can get a TAP account. TAP is also the system to use if you need to request a payment plan.  

You can’t file income tax returns in TAP. See Free File (for many individuals) and the E-File page for options. You can make income tax payments in TAP (need a TAP account) or through another method like Quick Pay (no special account needed). See E-Pay.   

Why you should use TAP

  • It’s free.
  • You can access TAP when and where you want, 24/7.
  • Your information stays in a secure environment.
  • TAP is a fast way to file and pay.

What you can do in TAP

    • Income tax withholding — Form 910, Form 967 and W-2s, Form 1099 and file upload
    • Sales and use taxes
    • County assessor sales tax
    • Travel and convention tax
    • Greater Boise Auditorium District tax
    •  Idaho Falls Auditorium District tax
    •  Pocatello/Chubbuck Auditorium District tax
    • Beer tax 
    • Wine tax 
    • E911 Fee
    • Fuels distributor report (XML or Excel upload)
    • IFTA returns
    • Other IFTA-related actions — IFTA additional decal order, IFTA license application, IFTA license renewal
  • Make tax payments (including scheduling payments up to 90 days in advance). This includes income tax payments.
  • Get tax due-date reminders for all tax types that you can file in TAP.
  • View your account history.
  • Request updates to specific account information.
  • Print copies of specific filed returns or letters we sent you.

This guide will help you get started with our Taxpayer Access Point (TAP) system.

Registering for a TAP account

You must have an active Idaho tax account with us before you can register for a TAP account.

  • If you’re a business that wants to pay taxes through TAP, you must first complete the Idaho Business Registration (IBR) process to get your tax permits. See tax.idaho.gov/ibr to apply.
  • If you’re an individual and new to Idaho, you must wait until we’ve received and processed your first income tax return before you register.

To start registering

  1. On the TAP home page, look below the Log In button. Click Sign up under New to e-Services?
  2. Select one of the following options:
    • Take a quiz for same-day access. (You must have your most recent tax return information readily available. Please take adjustments into account. Note: the required field will reject a $0 value amount.)
    • Receive a letter with your registration code. (Have your code delivered via mail and use the code to complete your registration.)
    • Already have your registration code? Go to Received your registration code in the mail at the bottom of the instructions.
  3. Answer whether you’re a ”3rd Party Tax Preparer.” Select Yes or No. (Filing as a 3rd Party Tax Preparer means you provide tax services to another individual or business.)
  4. Enter your Social Security number (SSN), Individual Taxpayer Identification Number (ITIN), or Federal Employer Identification Number (FEIN). Complete the other required fields:
    • In the Name field, use the legal name associated with the SSN, ITIN, or FEIN you entered.
    • Enter your ZIP code. It must match what we have on file for your location ZIP code.
  1. Take the Registration Quiz.
    • For Individual filers: Have your most recent Individual Income Tax return (or Part-Year Resident and Non-Resident Income Tax return) readily available. (The quiz will specify which line(s) to reference).
    • For Business filers: Select the Account Type you’d like to validate. (Amusement Device Tax, Beer Tax, Business Income Tax, IFTA, Sales and Use Tax, or Wine Tax.)

    After choosing the Account Type, select the type of form that you’ve filed and input the filing period.

    The Registration Quiz will ask you to reference a specific line on the selected document. Input the figure located on the referenced line.

  1. Create your TAP logon.
    • Enter your email address.
    • Create a username.
    • Create a password and confirm it.
    • Choose a recovery question and create an answer.
    • Enter your name.
    • Provide your phone number (and alternate phone number if necessary).
    • Click Next.
  1. Verify that the information on the registration summary is correct. Click Submit.
  1. You’ll see a confirmation screen. You should receive a confirmation email with your username.

You now have full access to your TAP account. Get started with filing and paying!

If you received your registration code in the mail:

  1. When you receive your letter, go to the TAP home page.
  2. Click Sign up under New to e-Services? (under the Log In button).
  3. It will ask if you’ve received a registration code. Click Yes and then click Next.
  4. Enter the registration code exactly the way it appears in your letter. This code is case-sensitive.
  5. In the Are you a 3rd Party Tax Preparer field, you must select the same option you chose when initially requesting your registration code.
  6. You must enter the same FEIN, SSN, or ITIN you used the first time.
  7. Click Next.
  8. Complete the required fields. Adding banking information is optional; you can add it later.
  9. Click Submit and click Yes. You’ll see a confirmation screen.
  10. Log out of TAP.
  11. On the TAP home page, click Log In. Enter your username and password.
  12. It will prompt you to set up two-factor authentication (2FA). The 2FA is a requirement. You can receive the code through an authentication app, a text message, or an email.
  13. Click Confirm.
