Settings and Security

You can change account information such as your login information, the way you get authentication codes, and your security questions.

Changing your profile name

You can change your name, if, for example, you want it to show your nickname.

Changing your name here is different than changing your username to log in (see below), your legal name, or your business’s DBA name. For your legal name or DBA name, see Changing your information.

To change your profile name

  1. On your TAP homepage, click Manage My Profile.
  2. On the Profile tab, you’ll see your current name. Just under it, click Change Name.
  3. Enter a new name and click OK.

Changing your username

You can change your username after you’re registered. You use your username to log into TAP. To change the profile name in your account, such as have it show your nickname, see Changing your profile name, above.

To change your username

  1. On your TAP homepage, click Manage My Profile.
  2. On the Profile tab, you’ll see your current username. Beneath it, click Change Username.
  3. Enter a new username and click OK.

Changing your password

You can change the password for your TAP account anytime. For security reasons, you must change your password at least every 370 days.

Your password is case sensitive and must:

  • Be at least 10 characters.
  • Use a combination of letters and numbers.
  • Have both uppercase and lowercase letters.
  • Contain at least one special character: (~ ! @ # $ % ^ & * _ – + = ? / | \ ; : [ ] { } ( ) < > . ,)
  • Be different than your username.

To change your password

  1. On your TAP homepage, click Manage My Profile.
  2. On the Security tab, locate Password and click Change Password to the right.
  3. Enter your current password.
  4. Enter your new password and then enter it again to confirm.
  5. Click OK.

Use your new password the next time you log in.

Managing authentication methods

You must use two-factor authentication (2FA) as added security for your TAP account. If you’ve chosen to “Trust this browser,” you might not be prompted for an authentication code. Otherwise, you’ll be prompted when you log in to request an authentication code (security code) be sent to you in the method you chose. You should receive the code within 1-5 minutes.

For everything except a passkey, you must use two different methods (such as a password and authentication app) each time you log in to TAP. You can choose an authentication app, email, or phone number (for a text message) to get your authentication code.  You can add multiples of some, such as phone numbers. Note that some cell phone service providers use security measures that slow text message delivery.

To manage authentication methods

  1. On your TAP homepage, click Manage My Profile.
  2. On the Security tab, choose the method you want and click the link to the right of it.
  3. Do one of these:
    • To set up a new method, follow the instructions on screen.
    • To delete a certain method, email, or phone number, click the X next to that choice and click Yes to confirm you want to delete it.

Changing your security question

Security questions allow you to reset your password if you forget it. Choose questions you’ll remember but that are difficult for others to guess.

To change your security question

  1. On your TAP homepage, click Manage My Profile.
  2. On the Security tab, scroll down to the Security Questions section and click Change Security Questions.
  3. Choose a new question, enter the answer, and type the answer again to confirm it.
  4. Click OK.

TAP Payment Plan

You can request a payment plan. You also can change a request you’ve already submitted.

Requesting a payment plan

You can request a payment plan through TAP when we’ve processed your return and your balance is reflected in TAP.

Tips:

  • Pay as much as you can before the due date.
  • You can make extra payments anytime. This reduces your balance, as well as interest and penalty.
  • You’ll need your bank routing number and account number from the bottom of your checks. The routing number is the first group of numbers, and the account number is the middle group. Don’t include the last group, which is your check number.

To request a payment plan (with a TAP account)

  1. On the TAP home page, click the More tab.
  2. In the Payment Plans panel, click Request a Payment Plan.
Contact us if you don’t see this link.
  3. Read the agreement and click Next.
  4. Choose an available option for the payment plan and click Next.
  5. Follow the instructions to complete your request. When asked when you want the payment plan to start, you must choose a date that’s between 10 and 40 days from the date you submit this request.
  6. Click Submit, or click Save Draft to save your work and return later to finish.

To finish a draft request

  1. On the TAP home page, click the More tab.
  2. In the Submissions panel, click Search submissions.
  3. Click Payment Plan.
  4. Click Continue Editing in the upper-right corner.
  5. Fill out your payment plan request.
  6. Click Submit.

To request a payment plan (without a TAP account)

  1. On the TAP home page, under the Payments panel, click Request a Payment Plan
  2. Verify your Identity and enter a Letter ID found in the top right corner of any letter from the Idaho State Tax commission delivered within the past two years.
  3. Read the agreement and click Next.
  4. Choose an available option for the payment plan and click Next.
  5. Follow the instructions to complete your request.
  6. Click Submit.

Changing a payment plan request

You can change a payment plan request you’ve submitted if it’s still marked as Pending. To change the length of the plan, you must delete your request and start over.

If your request is already marked as Processing, contact us to make changes.

TAP Tech Problems

Issues with registering

This section describes some common issues you might have while registering with TAP.

Can’t verify EIN

If you’re an out-of-state tax professional, TAP might not be able to verify your federal Employer Identification Number (EIN) when you try to register for your own account.

We might need to make a system adjustment for you. Contact us through the TAP Issues box in our Submit a question section, or call us at(208) 334-7660 in the Boise area or toll free at(800) 972-7660.

You see the message “Please verify that your SSN, name, and ZIP code are correct”

Check:

  1. Do you have an active Idaho tax account? If you’re new to Idaho, you can’t register with TAP until your tax information is in our system.
  2. Is your ZIP code correct? Your registration ZIP code must match what we have on file for your location ZIP code. This might differ from your mailing or PO Box address. Check your records to confirm you’re entering the ZIP code we have on file. You might want to try your last few ZIP codes if you think we could have an old location address for you.
  3. Contact us if you’re unable to proceed.

You see red fields

Fields that turn red when you try to submit changes are required fields that don’t have correct information in them.

  1. Complete all required fields. Required fields left blank have a red asterisk (*) to the right of the field.
  2. Double-check any red fields that have information in them. The system didn’t recognize what you entered. Hover over the field to see the error message.

Registration code didn’t arrive

When you first sign up with TAP, the Tax Commission sends you a physical letter containing a registration code. You need this code to complete your registration and log in. You should receive this letter within 7-10 business days. If you don’t receive the letter within 10 business days, contact our E‑File Help Desk.

Issues with logging in

This section describes issues you might see when you try to log in.

Forgot password

You can reset your password if you forget it.

To reset your password

  1. On the TAP home page, click Forgot username or password? (under the Log In button).
  2. Enter your username and email.
  3. Click Submit.
  4. You’ll receive an email. Click the link in that email and enter the answer to the security question you chose when you originally signed up. The answer is case sensitive.

Note: Check your Junk and Spam folders if you don’t see the email. The link in the email is only valid for 10 minutes. If the link expires, repeat the steps above.

  5. Create your new password.

You see the message “Password attempts exceeded”

You’ll receive this message if you try to log in too many times with a username and password that don’t match your TAP account. This security measure ensures that you’re the only one accessing your account.

To unlock your TAP account, click Forgot username or password? and follow the instructions. If you can’t unlock your account, contact our E‑File Help Desk.

Registration code issues

When you first register with TAP, the Tax Commission sends you a letter with the registration code, which you need to finish the registration process. You should receive the letter within 7-10 days. Contact us if you don’t.

Authentication code issues

The Tax Commission requires using two‑factor authentication (2FA) as added security for your TAP account. We send authentication codes through an authentication app, email, or text message. You should receive the code within 1-5 minutes.

If you don’t receive the code in email:

  1. Check the login screen to be sure the email address on record is correct.
  2. Check if the email went to your Junk or Spam folder.
  3. If it’s been more than 5 minutes, contact us for help.

If you don’t receive the code as a text message:

  1. Make sure your phone plan allows for SMS (text) messaging.
  2. Note that some cell phone providers use security measures that slow text message delivery. If the wait for an authentication code is too long, consider using the authentication app or email instead.
  3. If you still haven’t received the code within 5 minutes, contact us for help.

To change the method for two-factor authentication, see the Changes and History guide.

Confirming we received your return or payment

You should see a confirmation screen after you successfully submit your tax return or payment. If you didn’t see this screen, we didn’t receive your return or payment.

  • Complete all required fields. Required fields left blank have a red asterisk (*) to the right of them.
  • Look for red fields. Our system didn’t recognize what you entered. Hover over the field to see the error message and correct it.

You can also check your submissions through TAP. See the Changes and History guide.

Setting up your account and client accounts

As a tax professional, you must have your own TAP account (see the Introduction and Registering). Then, add access to client accounts if you want to file and pay taxes on their behalf.

Requesting access to client TAP accounts

You must add client access for each tax account (tax type) such as sales tax, withholding, or IFTA. The process of accessing a client account is also a two-step process.

Note: The client must have allowed third-party access to its TAP account. Access is allowed by default.

To request access to a client TAP account

  1. Log in to your TAP account.
  2. On the More tab, go to the Access panel and click Add Access to Another Account.
  3. When asked if you have received a registration code, leave No selected and click Next.
  4. Enter the information for a tax account (tax type) you’d like to access and click Submit.
  5. Add any other tax accounts for this client you want to request access for.
  6. Ask your client to look for a letter from us, which will take 7-10 business days. When the letter arrives, have your client give you the registration code and see “To confirm access to a client TAP account” below.

To confirm access to a client TAP account

  1. After you’ve received the registration code from your client, log back into your TAP account.
  2. On the More tab, go to the Access panel and click Add Access to Another Account.
  3. When you’re asked if you received a registration code, click Yes. Enter the code. This is case sensitive.
  4. Click Submit.

You now have access to the client tax accounts you requested access to.

Managing client TAP accounts

You can do many tasks for your client through TAP. Tasks include paying their taxes, reviewing pending payments, and seeing if you can still cancel payments.

To schedule payments

Note: You can only schedule a payment for the future when you pay using a bank account (not a debit card or credit card).

  1. On your TAP homepage, select the client you want to make a payment for.
  2. Locate the panel for the tax account you want and click Make a Payment.
  3. Read the instructions and click Next.
  4. Choose a payment type, and enter any other required information. Then, click Next.
  5. Choose Bank Account and click Next.
  6. Confirm the amount to pay.
  7. Choose a date to pay, which can be up to 90 days in the future. Pay by the due date to avoid interest and any penalties.
  8.  Do one of these:
    • If there’s a default payment channel, that information appears. Leave it as is to pay from that channel.
    • Use one of the other payment channels that appears.
    • Enter your client’s bank account and billing address information.
  9. Click Next.
  10. Review your information and click Submit.

You’ll see a confirmation screen and receive an email confirmation after the software starts processing the payment.

To review payments

  1. On the TAP homepage, go to the Select a Customer  tab and select the client whose payments you want to review.
  2. On the More tab, go to the Payments & Returns panel and select Manage Payments and Returns.
  3. In the Show panel, change Returns to Payments and Not Submitted to Pending.

Tip: In the Status column, click Make Payment to schedule a payment for that account.

To delete payments

See Filing an Paying to cancel payments made by ACH debit that still have a Pending status. You can’t delete these payments if they have a Processing status. You also can’t delete payments made by credit card.

Managing access

You can create secondary logons and security groups for a TAP account.

Managing secondary logons

You can create secondary logons to allow someone else to manage your TAP account. The person with the secondary logon only sees the accounts and can perform the actions you give them access to. Each user should have a unique logon.

Note: In previous versions of TAP, you could have “additional” logons. You can still use and manage additional logons, but you can’t add new ones. Add anyone new as a secondary logon instead.

To add a secondary logon

    1. On the TAP homepage, click Manage My Profile, and click the More tab.
    2. In the My Users panel, click Manage Secondary Logons.
    3. Click Add a Secondary Logon (near the top).
    4. Enter the UsernameNameEmail, and Type of Access. By default, the Type of Access for this person is Account Manager. You can change this to Administrator or Primary Manager.
    5. Click Next.
    6. Select the Customer Groups and Account Access (tax types) you want this person to have access to.
    7. Click Submit and then click OK.
    8. The person you specified will receive an email to finish setting up the secondary logon. Make sure they complete the steps.

Tip: If the person you added as secondary logon can’t find the email, have them check their spam folder. Or, you can go to this person’s profile and select Resend Logon Access Email (near the top).

To change access for a secondary or additional logon

  1. On your TAP homepage, click Manage My Profile, and click the More tab.
  2. Do one of these:

  5. To update the customer group this person has access to, go to the Customer Groups area and click Change. Select the customer groups you want and click Save.
  6. To change which accounts (tax types) this person can access, go to the Account Access area and click Change. Select the tax types you want and click Save.

To delete access for a secondary or additional logon

Note: You can only delete access for people whose Type of Access is lower than yours.

  1. On the TAP home page, click Manage My Profile, and click the More tab.
  2. Do one of these:

    • On the Other Users panel, click Manage Additional Logons.
  3. Select the username for the person you want to manage access for.
  4. Select Deactivate Access (near the top) and click Yes to confirm.

Managing customer groups

A customer group sets the accounts that someone with a secondary logon can access. When you add a person as a secondary logon, they go into the Default customer group.

You can create other customer groups if you want people with secondary logons to be able to access only certain client accounts. A client can only be in one customer group.

  1. On the TAP home page, click Manage My Profile, and click the More tab.
  2. In the My Users panel, click Manage Secondary Logons.
  3. On the Customer Groups tab, click Add.
  4. Enter the name and description for this customer group and click Save.
  5. Go to “To manage accounts in a customer group” below to add accounts to this group.

  1. On the TAP home page, click Manage My Profile, and click the More tab.
  2. In the My Users panel, click Manage Secondary Logons.
  3. On the Customers tab, you can see the customers you have access to. In the Customer Group column, click this customer’s current group.

  3. On the Customer Groups tab, click the name of the customer group you want.
  4. Do either of these:
    • Click Rename to update the name, description, or both. Then, click Save.
    • Click Delete to remove the customer group. Click Yes to confirm.

Preventing future access to your TAP account

Use this when you don’t want to allow anyone new to have access to your TAP account.

  • Third-party access. The default is Yes to allow. You must leave this set to Yes to let someone, such as a third-party tax profession, manage your TAP account from their TAP account.
  • Secondary logon access. The default is Yes to allow. You must leave this set to Yes if you want to set up a secondary logon for anyone else, such as your own employees, to access and manage your TAP account.

Important: Turning off access like this only prevents future logons. It doesn’t affect access for people who currently have it. To delete access for these people, see “To delete access for secondary or additional logons” above.

To prevent future third party access to your TAP account

  1. On the TAP homepage, click Manage My Profile, and click the More tab.
  2. In the Access Management panel, select Manage Third Party Access.
  3. Locate the Allowed field and click Yes.
  4. Confirm you want to prevent all future third-party logons by clicking Yes in the popup window. The Yes in the Allowed field changes to No.

To prevent future secondary logon access to your TAP account

  1. On the TAP homepage, click Manage My Profile, and click the More tab.
  2. In the Other Users panel, select Manage Additional Logons.
  3. Locate the Allowed field and click Yes.
  4. Confirm you want to prevent all future secondary logons clicking Yes in the popup window. The Yes in the Allowed field changes to No.
